Membership Committee Report

The Membership Committee is pleased to share this report with the Board of Regents.

1999/2000 Membership Year: As of 9/30/99 the current membership of ACPM totals approximately 2,100 members. Two dues invoices have been mailed to members, resulting in 1,066 members paying $203,440 in dues revenue.

1998/1999 Membership Year: A total of 142 members were deleted for non-payment of dues in the 98/99-membership year, a higher attrition rate than we would like.

Recruitment efforts: In June 1998, ACPM contracted with JAM Communications to develop a 12-month/6 part recruitment campaign. The campaign has enjoyed modest success with 50 new members joining thus far. The fifth piece (a two-page letter outlining the educational opportunities with ACPM) was mailed in early October. This mailing has already generated a good response from prospective members and looks to be one of the more attention grabbing topics. The sixth and final piece of the mailing will consist of an application, a general ‘wrap-up’ of ACPM benefits and a technology highlight. The sixth piece is in the design stage now.

ACPM also offered a "Three-month Free Membership" promotion to newly boarded ABPM diplomates in the last three months of the 98/99-membership year. Thus far, nine newly boarded physicians have joined. The "Three-month Free" offer included receiving all ACPM mailings including the American Journal of Preventive Medicine, a benefits of membership mailing and, as an introductory offer, the $35 initiation fee waived.

The Preventive Medicine Board Review Course, a highlight of educational offerings from ACPM, is always a good spot for member recruitment and this year was no different. Seventeen members joined ACPM either at the Review Course or just prior to registration in order to pay the member registration rate.

Data base concerns: In March/April of 1999, ACPM implemented the long awaited database, Membertrak, after purchasing the database in summer 1998. Membertrak has not proven to be nearly as flexible and powerful a tool as we had hoped. ACPM staff remain in contact with the vendor, Phoenix Solutions, Inc., to make the necessary changes to the data base. Because the vendor has not been especially responsive, however, we are hoping to contract with a former PSI employee to make changes to the data base to improve our ability to retrieve membership data and generate reports.

Changes to the membership process:

  • Signatures: The requirement for prospective members to obtain two sponsorship signatures is being eliminated. In place of this section, we will institute a program to send all new members a welcome note from the ACPM regional regent.
  • Application: We are also adding a section to the application for credit card payments.
  • Dues: The current process of requiring all potential members to pay the full first years dues regardless of when they join and prorating their second years dues will be discontinued. Instead, members will now pay the prorated amount the first year and then the full amount the second year, etc. This will simplify our accounting and data base management procedures.
  • Resident Members: To simplify our membership procedures, we will switch residents to the same membership year as other ACPM members (i.e., 9/1 – 8/31). Currently, each resident’s membership year is one year from the date he or she initially joins.
  • Fellowship: Historically, Members have been allowed to become Fellows if they have been Members in good standing for three consecutive years. There has been confusion over whether the three consecutive years needed to be the three previous years. The Membership Committee recommends that the Board adopt the position that the three consecutive years refer to the three preceding years. If the Board agrees, the Fellowship application will be changed to reflect this.

Other activities:

  • The AMA has approached the College about gaining access to ACPM’s membership data base in order to conduct a membership marketing campaign. In return, the AMA proposes paying ACPM a set fee for each new member recruited. The Membership Committee will consider this proposal3.
  • Staff have prepared a preliminary joint membership proposal to share with AsMA. The Membership Committee will review this proposal. We plan in the future to draft a similar proposal to share with ACOEM.
